A 92-bed care home in the West Midlands missed one share-code renewal in October. The sponsor licence was suspended for 12 weeks. They lost an estimated £180,000 in NHS contracts before the licence was reinstated. RTW Checker would have flagged the code at 25 days, with five days to act.

RTW Checker started inside Instant Check.

A few months ago we sat down with our night control team during a routine meeting.

We asked them how long Right to Work checks were actually taking every night.

Four hours.

Four hours a night, every night, copying share codes into gov.uk one worker at a time. Waiting for the page to load. Saving the PDF. Filing it. Moving on. With 150 to 200 workers per shift, the work routinely ran from midnight until past 4am.

It had been the routine for years. Quietly absorbed into our running costs without anyone questioning whether it should exist.

That was the moment we knew we were going to build something.

Instant Check is our vetting and compliance business. Alongside it we run a UK security firm and a specialist recruitment business. Several hundred workers on our combined rosters, and one compliance problem we hadn't seen for what it really was, until that conversation made it visible.

We went looking for software that could solve it. There were per-check verification tools, and there were compliance officers for hire, but nothing that ran continuous monitoring against gov.uk on a fixed watchlist of workers and kept going, day after day, for years. The market assumed Right to Work was a one-time event at hire. Anyone who has actually managed a UK workforce knows it is not.

So we built it. Our sister company, Aberdeen Technologies, took the requirements straight from our compliance floor and shipped the first version inside Instant Check, where it ran live against our own rosters before any client ever saw it. Once it had proved itself on us, we opened it up to everyone, because continuous monitoring should not be a privilege of the companies with the biggest compliance budgets.

How does this differ from doing it manually on gov.uk?

Gov.uk's right-to-work portal works one worker at a time. There's no way to bulk-upload, no auto re-check, no alerts, no audit history. We drive that same portal on your behalf for the whole workforce and keep going forever, so your dashboard always reflects what gov.uk would say today, not what it said when someone last checked.

Where is the data stored?

UK region (London). Each company's data, workers, share codes and PDFs, lives in a dedicated tenant area on encrypted storage. Agencies get isolation between client companies enforced at the API layer.

Do you store the actual gov.uk PDFs?

Yes. For as long as you need them. The Home Office requires you to keep evidence of right-to-work checks throughout employment plus two years after the worker leaves. We retain every PDF and surface it as a one-click download on each worker's record.

What about workers without a share code?

We focus on online checks via share code, which covers every modern visa, EU Settlement Scheme, ILR, and British citizens with a passport. For non-share-code routes (older BRPs, manual paper checks), the dashboard flags those workers separately so you know to handle them out-of-band.

How much does it cost?

Four flat tiers based on worker count, no per-check fees. Starter (up to 25 workers) is £49/month or £490/year. Growth (up to 100 workers, our most popular) is £99/month or £990/year. Can we switch between monthly and annual later?

Yes. Start on monthly with no commitment, then switch to annual any time to save 17%. If you're on annual and your workforce outgrows your tier, we prorate the difference and bump you up mid-cycle.

What happens if we go over our worker tier limit?

Nothing breaks. We email you when you cross the threshold and ask whether you want to move up a tier or trim the watchlist. There's no overage fee and no service interruption while you decide.

Is there a free trial?

We don't run an unattended free trial because gov.uk checks cost us real compute time. Instead, the demo call includes us creating your tenant and running your first batch live on the call, so you see the system working against your own workforce before you commit. Cancel any time after that with no questions asked.

How quickly can we get started?

Is this really cheaper than an in-house compliance officer?

Will I still be the named sponsor licence holder?

Yes. The named Authorising Officer, Key Contact and Level 1 Users on your sponsor licence remain legally responsible for compliance. What changes is the evidence: instead of a half-finished spreadsheet, you have a dated PDF from gov.uk for every worker, every check, ready to hand to a Home Office compliance officer in the event of a visit.

What if gov.uk changes their portal?

We monitor the Home Office Right to Work check service for changes and update our integration within 24 hours of any meaningful change. You don't need to do anything, and there's no downtime visible to your team. This is why we exist as a service rather than software you install.

What happens if the Home Office actually visits?

You log in, click the worker in question, and download the official gov.uk PDF from the most recent check, along with the full check history. The Home Office officer wants to see that you took reasonable steps to verify Right to Work before and during employment. A daily automated check with a signed audit log is the strongest evidence you can put in front of them.
